Convert ACT! to CSV

Our Exporter software extracts the data from your ACT! database and converts it into standard  CSV/Excel files which are designed to be used to migrate your ACT! database into other CRM software applications.


The ACT! database consists of several different tables.  These tables are all related to one another using a scheme developed by the designers of ACT!.  When you see the data presented on your monitor, it is actually obtained by retrieving pieces of data from several different tables.  The newer version of ACT! can have over 100 individual tables. 
Since no two databases are designed the same, when you transfer from ACT! to another application, the import is generally done into the primary modules/objects of the new database i.e. accounts, contacts, notes etc.
When the Exporter software extracts the ACT! data, it combines the data from ACT!'s related tables and puts it into  major objects which allows it to be imported into the new application.

The ACT! Structure

ACT! has four primary tables -- these are Companies/Accounts, Contacts, Groups and Opportunities.  Each of these can have Activities, Notes and History items associated with them.  Opportunities are a bit special in that they can be related to both Accounts and Contacts.  These associations can become very complex.  For example, a note can be entered for an opportunity and also be associated with a contact or company. 

The Exported Data

The exported data will appear in several CSV files.  For example there will be a Contact.csv, Company.csv, Note.csv etc.  Depending on the table there will be an ID field present that is used to link the tables.  For example, in the Note.csv file there will be four ID columns -- ContactID,CompanyID,GroupID and OpportunityID.  If there is data present in a cell, it means that the note is attached to the associated object -- Contact, Company, Group and Opportunity.

Special Features

Exporter generated fields -- The Exporter software will translate several fields.  This makes importing much easier.  Any time a field is translated it will be denoted with an X_
List of Fields
X_Notes_History -- this is a combined list of all the notes and history records.  Each note/history optionally includes the entry date as well as the record manager.  These are sorted by date so they present a complete snapshot of entries for the contact
X_Group_Membership -- This is a list of all the groups the contact was assigned to.  The entries are separated by a ";" so they can be treated as a multi-select picklist is most applications.  This allows easy lookup in the target application.
X_CompanyName -- This is a list of the companies the contact has been assigned to.
X_RecordManager -- This is the actual name of the record manager.  There is also an ID associated with the RecordManager allowing links between tables.

Field List Summaries -- For each table a summary of the fields is generated.  It includes the Field Name, Field Type, Populated Count.  This is very helpful in determining which are the important fields that will need to be transferred to a new application and which fields can be eliminated.
